SCHOOL GROUP BOOKINGS
Please plan your travel arrangements carefully so that you arrive at the theatre 30 minutes before the show start time. Latecomers can be disruptive for other groups in the audience and can jeopardize travel arrangements if the show starts late.. Thank you in advance for your consideration.
When your group arrives at the theatre, you must check-in with the Box Office Representative in the lobby. For health and safety purposes, we will require the EXACT NUMBER OF STUDENTS & ADULTS PRESENT – please have this information ready to share with our staff at check-in.
Any requests to update your booking must be made by emailing the Box Office at yptboxoffice@youngpeoplestheatre.org. Changes will not be accepted over the phone or on voicemail. Our Box Office is open Monday – Friday from 9:00AM – 5:00PM (with the exception of some holidays). Weekend Box Office hours pertain to performance days only. Box Office opens one hour before the first show time and closes 30 minutes after the final show time.
BILLING AND PAYMENT DUE DATES
- Deposits (25% of the booking) must be received within 5 business days of your emailed invoice/confirmation. For TDSB/TCDSB bookings, a purchase order number must be received for the full, pre-tax amount of the booking.
- Cancelling after 5 business days may incur a cancellation fee of up to 50% of the booking cost.
- Cancellation requests must be made by emailing the Box Office at yptboxoffice@youngpeoplestheatre.orgor calling 416-862-2222 x1. A cancellation is not official until you receive an email confirmation from our Box Office staff.
- The final payment (noted on your invoice) and confirmation of ticket numbers is due no later than 21 days (3 weeks) before your performance date. After this date, the school is financially responsible in full for the number of tickets on the invoice.
- Accepted Payment Methods: EFT/Direct Deposit, Credit Cards, Cheques, Cash and TDSB/TCDSB Direct Deposit (Purchase Order).
- IF PAYING BY CHEQUE, PLEASE MAIL TO YPT, ATTENTION BOX OFFICE, AND MAKE CHEQUES PAYABLE TO: YOUNG PEOPLE’S THEATRE. YPT’s HST number is: 11930 7254 RT0001
- EFT/Direct Deposit: YPT’s banking information will be provided upon request. Deposit notifications, noting the Order # reference, are to be emailed to: finance@youngpeoplestheatre.org.
- IF PAYING VIA TDSB DIRECT DEPOSIT: YPT must receive a copy of the Purchase Order (PO) five (5) business days after receipt of quote. When filling out Purchase Order (PO) forms, please fill out one PO for the final payment amount only. YPT will send a final invoice three (3) weeks (21 days) prior to your performance, including any adjustments that have been made to your booking. Please “Goods Receipt” your Purchase Order upon receipt of final invoice, and please remember to adjust the PO to alert TDSB Accounts Payable of any changes to the payment amount, if applicable. Our approved vendor number is 7022. ***PLEASE MAKE SURE TO REFERENCE YOUR ORDER NUMBER WHEN CREATING YOUR PURCHASE ORDER***

Important! If you are paying by personal cheque, please make sure your school name, booking # and performance date are written on the back of your cheque. Please note, a $10.00 handling fee will be applied to all school group invoices regardless of the method of payment.
SEATING
Individual tickets for school bookings are not printed. Your invoice is your ticket. Seating will be assigned based on a number of criteria including size and age group, subject to groups with students requiring specific accommodation. Please inform Box Office staff directly of any groups with students requiring specific accommodation, in particular individuals using wheelchairs or other mobility devices. If there are any changes to your booking in regards to specific accommodations – either additional students or fewer students – you must contact Box Office staff and inform them prior to your performance in order that our Front of House Staff are appropriately prepared.
GROUP SUPERVISION
YPT is committed to providing a safe and welcoming environment in which audiences respectfully engage with the programming. PLEASE NOTE that supervision and behavior management of student groups remains the responsibility of accompanying teachers and chaperones. Teachers and chaperones are required to sit with their students and ensure respectful conduct throughout the performance (Please see YPT’s Code of Conduct below). YPT strives to cultivate an environment in which performers and audience members alike feel safe and uplifted, and teachers and chaperones are key to upholding this mandate. Failure to abide by YPT’s guidelines may result in the school group being asked to leave the theatre.
COMPLIMENTARY TICKETS FOR TEACHERS AND SUPERVISORS
One complimentary teacher/supervisor ticket for every 20 paid student tickets will be made available. If there are students who require specific one-on-one supervision, please let us know at the time of booking as we will provide additional complimentary tickets for the accompanying support staff. Additional tickets may be purchased at the student rate for additional supervisors.
LATE PAYMENTS AND NSF CHEQUES
Late payments will be subject to a 5% penalty charge. Payments are due three (3) weeks prior to the date of your performance. In the case of an NSF cheque, a $35 NSF charge will be applied to the school’s account. Future bookings will not be accepted until outstanding balances are settled in full.
CHANGES TO BOOKINGS
Young People’s Theatre does not accept “tentative” bookings. However, bookings may be reduced by up to 50% of your original order by the final cut-off date noted on your invoice. A decrease in your booking after your cut-off date will not be accepted. The school is financially responsible for a minimum of 50% of the original booking regardless of the final number of students attending. All changes must be made by contacting a staff member in the Box Office by email; changes will not be accepted via telephone or voicemail. The Box Office is open Monday – Friday from 9am-5pm (with the exception of some holidays), and occasionally on weekends when performances are happening. CANCELLATIONS AND REFUND POLICY
Cancellations are only accepted within five (5) business days after the order was placed. Cancellations will not be accepted after that time as bookings are not tentative. Should you need to reschedule your school booking, we will make every reasonable attempt to re-book your group into the same production on a different date. Should no suitable date be found you may select another performance of a different production within the current season pending availability. As a registered children’s charity, YPT is not able to provide refunds.
ABSENT STUDENTS
If on the day of your performance there are absent students, the absent student may attend a weekend performance of the same production with their parents or guardians, pending availability. Note, the student ticket is covered, while the accompanying adult tickets would need to be purchased at the regular weekend pricing. If there is no availability, we would offer vouchers for these students to attend another age-appropriate production in the season for a weekend performance. Please note, tickets are offered for absentee students only and not adult or supervisor tickets. Student tickets are non-transferable to adult tickets for parents or guardians. We will not reduce the amount on your invoice for absent students.
ON ARRIVAL
Teachers should plan to have their groups at the theatre 30 minutes prior to the start time of the show. Please select in advance one teacher to check-in with the YPT Box Office Representative in the lobby upon arrival on performance day. This teacher will be the contact between theatre staff and your school. When checking in with the Box Office, please provide the exact number of people in your group as this number is required in the unlikely event of a building evacuation. Please also advise bus drivers there is no parking on Frederick St. and the street is patrolled vigilantly.
LATE ARRIVALS
Latecomers will only be seated when and if there is an appropriate break in the show. There is no guaranteed seating of latecomers. In the case of unexpected delays in arrival time, please call the Box Office at 416.862.2222 x1 to inform them of your estimated time of arrival.
POST-PERFORMANCE ACTIVITIES
A Q & A session with selected actors from the show is offered after non-preview school performances where schedule permits. It is approximately 10 minutes in length. Plan your travel time accordingly if you choose to participate. At selected Wednesday performances, a post-show Tools of the Trade is scheduled. Tools-of-the-Trade production chats provide students with an inside look at the technical elements of the production. Only groups wishing to remain for Tools of the Trade should book for these popular sessions.
UNFORESEEN CIRCUMSTANCES & INCLEMENT WEATHER POLICY
If a group is unable to attend a performance due to weather conditions that jeopardize safe transportation or result in school closures, or due to unforeseen circumstances including but not limited to traffic congestion, bus mechanical failure, or delays in public transportation, we will make every reasonable attempt to re-book you into another performance. Only if our performance is cancelled due to weather, fire, electrical or other insurmountable impediments will refunds be made.
In the event of a cancellation of a performance by Young People’s Theatre due to weather, fire, electrical, unforeseen circumstances, or other insurmountable impediments, YPT is not responsible for ancillary costs that schools may incur related to performance attendance including, but not limited to, transportation and bussing.
YPT CODE OF CONDUCT/GUIDELINES FOR RESPECTFUL AUDIENCE MEMBERS
- The performers on stage are real live people and can hear you as much as you can hear them. Please be respectful when enjoying the performance.
- Please ensure that cellphones are on silent (or better, turned off) and put away during the performance as it is distracting to both the performers on stage and other audience members.
- No photography or videography is permitted during the performance.
- Please listen to and respect Front of House Staff as they direct you to your section and your seats.
- No food or drink is permitted inside the theatre, with the exception of bottled water.
